How is Keyavi unique?

Keyavi protects the file itself, not just the perimeter, device, or system it sits on. Encryption and policy controls are embedded directly into the data, allowing owners to change access, revoke access, and monitor access attempts even after the file has been shared or downloaded.

What is an IKD file?

An IKD file is the result of protecting a file using Keyavi's policy and encryption technology. It contains the original data plus embedded policies and encryption so protection, control, and visibility travel with the file wherever it goes. The Keyavi-protected file will have the file extension of .ikd.

What's the difference between SafeSuite and SafeSuite Lite?

SafeSuite Lite protects emails, including attachments and the body of email messages, when sending from Outlook or Gmail. It's the fastest way to get started and ideal for everyday sharing. SafeSuite offers a full desktop experience for all files across workflows and deeper visibility for organizations that need more advanced capabilities. SafeSuite Lite functionality is included in SafeSuite.

How long does it take to get set up with SafeSuite?

SafeSuite Lite can be deployed in minutes. Full SafeSuite setup depends on organizational scope but doesn't require infrastructure changes, and is deployable in as little as 15 minutes.

What operating systems does SafeSuite work with?

SafeSuite desktop applications are supported on both Windows and macOS. SafeSuite can also be accessed through a web browser, enabling use on other operating systems that support modern browsers.

What email clients does SafeSuite Lite work with?

SafeSuite Lite is available for Microsoft Outlook and Gmail. Others are coming soon.

What file types does SafeSuite work on?

In full access mode, SafeSuite protects files of all types. If protecting in Read-Only mode, SafeSuite protects the following file extensions: "pdf", "txt", "docx", "doc", "jpeg", "jpg", "png", "rtf", "xls", "xlsx." Other file types are coming soon.

Are there size restrictions on files?

For SafeSuite Lite, file sizes are restricted to those set by the email client. SafeSuite does not impose a file size restriction.

What policies can I set on a file?

Policies include:

  • Who: Define which users are authorized to access the file.
  • When: Set how long the file can be accessed before access expires.
  • Where: Restrict access based on geo-fenced locations or regions.
  • What: Control permitted actions, such as read-only viewing or full editing rights.
  • Revoke: Remove access at any time, even after the file has been shared.

What is Intelligent Directory?

Intelligent Directory, part of SafeSuite, is a service that can be applied to a designated folder. Any file placed into that folder is automatically protected as an IKD with default policies, so users can create protected files simply by saving or dropping them into the directory. It streamlines protection without requiring manual setup for each file.

Can I share a file with someone not licensed with Keyavi?

Yes. With SafeSuite Lite, users can allow restricted access of files to people outside their network, while still retaining control over the file.

What happens if someone forwards a file?

Forwarding a Keyavi-protected file does not give the new recipient access. The file checks the policy every time someone attempts to open it. If the person isn't authorized, access is denied, logged, and the admin is notified.

Is there multi-factor authentication (MFA)?

Yes. MFA is required for portal access. Users authenticate with SMS verification as an added security step.

User Questions

How do I reset my password?

Log into your SafeSuite portal, navigate to the Authentication tab. Click "Change Password." If you don't remember your password to log in, the login page of the SafeSuite portal has a "Forgot Password" button.

My email recipient didn't receive the one-time passcode (OTP). What do I do?

Sometimes other tools prevent the SafeSuite OTP from being delivered to a recipient's inbox. If this happens, log into your SafeSuite portal, navigate to My Files, select the three dots on the file you want to allow access to. Click "Generate 6-digit code." Select the recipient and click "Generate code." You can then share this OTP with them via email or another form of communication.

How do I change the policies on a file I've already shared?

Log into your SafeSuite portal, navigate to the My Files tab, select the three dots on the file you want to allow access to. Click "Edit policies." Here, you can adjust the access level, expiration, and allowed locations.

How do I revoke someone's access to a file I shared with them?

Log into your SafeSuite portal, navigate to the My Files tab, select the three dots on the file you want to allow access to. Click "Share." Next to the email of the recipient you wish to revoke access from, click the X and click "Share."
